Lumenosis AI ("we", "our") provides AI agent services to real estate and property operators. This policy describes what we collect, why, and how we keep it secure.

What we collect

• Contact information you submit through forms or calls (name, email, phone, company).
• Voice recordings of calls answered by our AI agents on your behalf, where two-party consent permits.
• Demo voice calls, recordings, and transcripts processed by Vapi for quality review only after you select Accept recording and start. Cancelling starts no call. Access is restricted to authorized operators, and recordings are subject to Vapi's configured retention policy; playback links are temporary.
• Email and SMS content sent through your inbound channels for the purpose of replying.
• CRM records you authorize us to read or write.
• Page visits, approximate location derived from IP, device type, and campaign source. PostHog, Google Analytics 4, and Vercel Web Analytics process this data for us and run by default for all visitors, including private demo pages, where we mask the demo link's identifying token before it reaches these tools. You can opt out at any time through Analytics choices in the footer; your choice is stored in your browser. We do not use these tools to identify anonymous visitors by name. After you submit the inbox audit and our CRM confirms your contact, we may associate your consented visit history with an opaque CRM contact ID in PostHog. We do not send your name, email, phone, or audit answers to PostHog for this association. Analytics consent does not grant permission for marketing email, calls, or texts. Our operator admin dashboards are excluded from website pageview tracking.

Visitor follow-up review

If you explicitly choose email follow-up on the inbox audit, we record that permission separately from analytics in our first-party database. After a verified database save, a signed first-party cookie lets us associate later public-page activity with that contact, without placing your email in analytics events. We use coarse page categories, not form contents or private demo tokens. We stop pending review after an opt-out, booking, reply or suppression. The current visitor-follow-up release is review-only: no automated emails are enabled, and no external visitor-identification service is installed.

Advertising measurement

On the public homepage, Google Ads measures completed discovery-call bookings. We do not count calendar views or booking-link clicks as booked appointments. Advertising storage, advertising user data, and ad personalization remain denied; Google may receive cookieless measurement signals under Consent Mode. Booking names, email addresses, phone numbers, and meeting details are not included in these events. This measurement is disabled when you opt out through Analytics choices. Private demo and operator pages do not send Google Ads booking events.

Why we collect it

To deliver the service you hired us for: answer your calls, qualify inquiries, route handoffs, and log everything in your CRM. We do not sell your data. We do not use your data to train any third-party model.

How long we keep it

For the duration of your contract plus thirty days. After that, we purge.

Your rights

You can request a copy of your data, request deletion, or revoke consent at any time by emailing privacy@lumenosis.com.

Subprocessors

We use Twilio (telephony), OpenAI / Anthropic (model inference), Vercel (hosting and web analytics), GoHighLevel (CRM), Fillout (forms), PostHog, and Google Analytics 4 (website analytics, on by default with opt-out available). Our provider agreements govern their processing of data.
